Pinehills LLC/Pinehills Brokerage Services Privacy Policy

This Privacy Policy describes how Pinehills LLC and Pinehills Brokerage Services (“The Pinehills,” “we,” “us,” or “our”) collect, use, and handle information you provide when submitting forms on pinehills.com. This policy applies to contact and inquiry forms, tour and visit request forms, newsletter and email signup forms, home listing and real estate inquiry forms, event registration forms, and charitable or promotional donation registrations processed through our affiliated payment platforms.

By submitting a form on this website, you agree to the practices described in this policy.

Information We Collect

When you submit a form on pinehills.com, we may collect:

  • Your name
  • Email address
  • Phone number
  • Mailing or home address (where requested)
  • The nature of your inquiry, including whether you are interested in new homes, resale homes, or general information about The Pinehills
  • Any additional information you choose to include in a message or comments field

For certain event registrations — such as our annual Reindog Parade — a small charitable donation is collected as part of the registration process. Upon form submission, you will be redirected to our Square store to complete your payment. Payment card information is collected and processed by Square, not by The Pinehills. Please refer to Square’s Privacy Policy for information on how your payment data is handled.

We do not directly collect or store payment card information through our website forms.

How We Share Your Information

We do not sell your personal information. We may share your information with:

  • Pinehills Brokerage Services (PHBS) agents, when your inquiry relates to buying or selling a home at The Pinehills
  • Home builders, when your inquiry is about a specific home or neighborhood they are building at The Pinehills. In those cases, your contact information and inquiry details may be shared directly with the relevant builder’s sales team so they can follow up with you.
  • Our marketing and technology service providers, including HubSpot (our customer relationship management platform), Mattson Creative (our digital marketing agency), and Aigner Prensky Marketing (our marketing agency partner), who assist us in managing and responding to inquiries. These providers are contractually obligated to protect your information and may only use it to provide services on our behalf.
  • Legal, regulatory, or law enforcement authorities, if required by law

If you sign up for our newsletter or email communications, we will send you updates about The Pinehills, including new homes, resale homes, neighborhood news, events, and community stories. You may unsubscribe at any time by clicking the unsubscribe link in any email we send, or by contacting us directly.

We use HubSpot to manage our email program. HubSpot’s privacy practices are governed by HubSpot’s own Privacy Policy.

Cookies, Analytics, and Advertising Tracking

This website uses cookies and similar tracking technologies to understand how visitors use our site and to deliver relevant advertising. Specifically:

  • Google Analytics — We use Google Analytics to collect aggregate data about website traffic and user behavior. This information helps us understand how our site is used and improve our content and marketing.
  • Google Ads — We use Google Ads tracking, including remarketing tags, to measure the effectiveness of our advertising campaigns and to show relevant ads to people who have visited pinehills.com.
  • Meta Pixel — We use the Meta Pixel (Facebook/Instagram) to measure conversions from our social media advertising and to serve relevant ads to visitors on Meta platforms.
  • HubSpot — We use HubSpot tracking on our website to identify and log visitor activity, support our marketing workflows, and connect form submissions to our CRM.
  • iHeart Media — We use iHeart tracking in connection with our radio advertising campaigns to measure reach and response.

These tools may collect information such as your IP address, browser type, pages visited, and actions taken on our site. That data is governed by the respective privacy policies of Google, Meta, HubSpot, and iHeart Media.

You can control cookie preferences through your browser settings. You may also opt out of interest-based advertising through the Digital Advertising Alliance at optout.aboutads.info or through your Google and Meta account settings.

Property Images, Digital Renderings, and AI-Generated Content

Images displayed on pinehills.com — including photographs, digital renderings, virtually staged photos, and AI-generated imagery — are intended to represent the character, style, and features of homes and neighborhoods at The Pinehills. They may not always depict the specific home being offered for sale.

This is especially common with new construction homes, which may be under construction or not yet built at the time of listing. In these cases, images may represent a completed model home, a similar floor plan, or a builder’s rendering of the finished home.

We make reasonable efforts to identify and disclose images that are digitally altered, virtually staged, rendered, or AI-generated when we are aware of their nature. However, some images — particularly those sourced through the MLS from other agents or parties — may not be individually reviewed or labeled by The Pinehills. We cannot guarantee that all such images will be identified or disclosed.

Prospective buyers are encouraged to verify the current condition and appearance of any home with the listing agent or builder prior to making any purchase decisions.

Data Retention

We retain your information for as long as necessary to respond to your inquiry, maintain our business relationship with you, and fulfill the purposes described in this policy — or as required by applicable law.

Your Choices

You may:

  • Opt out of marketing emails at any time using the unsubscribe link in our emails
  • Request that we update or correct information we hold about you
  • Request that we delete your information, subject to any legal obligations we may have to retain it

To exercise any of these rights, contact us at the address below.

Massachusetts businesses are currently subject to data security requirements under 201 CMR 17.00, which establishes standards for the protection of personal information of Massachusetts residents. Pending legislation may expand consumer privacy rights further. We are committed to staying current with applicable requirements as they develop.

If you believe your data has been compromised or mishandled, you may submit a report through the Massachusetts Attorney General’s Consumer Complaint Portal at mass.gov.
